Who we are

Maps Cash & Carry Ltd (“we”, “us”) is a food wholesaler based in Leicester, United Kingdom. We operate the website at mapscc.com and the Maps Cash & Carry mobile app for trade customers.

We are the data controller for the personal data described here. Company number 07783366. Registered office: 81 London Road, Leicester, England, LE2 0PF.

What we collect

We collect only what we need to run a trade account and fulfil orders.

Account details

  • Business name and contact name
  • Email address and phone number
  • Delivery address, and the address of each branch on your account
  • Your trade account reference
  • Your password, stored only as a one-way cryptographic hash. We cannot read it.
  • The date and time you last signed in

Order details

  • Products, quantities and the prices agreed for your account
  • Whether you chose delivery or collection, and the day or slot
  • The delivery address and any note you leave for the driver

Payments

Card payments are processed by our payment provider. Card numbers never reach our systems and we do not store them. We keep only a payment reference and the date a payment succeeded, so we can match a payment to an order.

Notifications

If you allow notifications, the app registers a device token so we can tell you when an order is accepted, ready or cancelled. The token identifies the device installation, not you personally. You can turn notifications off in your device settings at any time, and deleting the app removes the token.

We do not use advertising trackers, we do not build marketing profiles, and we do not sell personal data to anyone.

Why we use it, and on what legal basis

  • To operate your trade account and fulfil orders — performance of our contract with you.
  • To send order-status notifications — our legitimate interest in keeping you informed about an order you placed.
  • To keep accounting and VAT records — compliance with a legal obligation.
  • To keep the service secure and prevent fraud — our legitimate interest in protecting the business and its customers.

Who we share it with

We share personal data only with suppliers who help us run the service, and only as far as they need it:

  • Our payment provider, to take card payments
  • Google Firebase Cloud Messaging, to deliver push notifications to your device
  • Our hosting provider, which stores the data on our behalf
  • Our delivery drivers, who see the delivery address and note for your order

We will also disclose data where the law requires it. We do not otherwise share it.

How long we keep it

We keep your account details for as long as your account is open. Order and payment records are kept for six years after the end of the relevant accounting period, because UK tax law requires a business to retain them.

Deleting your account

You can delete your account at any time from inside the app: open the Account tab and choose Delete my account. You will be asked for your password to confirm. You can also ask us to delete it using the contact details below.

When you delete your account we permanently remove your login, contact details and saved addresses, revoke your sessions, and stop all notifications. Your past order records are retained for the six-year period described above, with your personal details stripped out, because we are legally required to keep the underlying accounting record. This is permitted by Article 17(3)(b) of the UK GDPR.

Deleting your account cannot be undone.

Your rights

Under UK data protection law you have the right to access a copy of your data, to have inaccurate data corrected, to have data erased, to restrict or object to how we use it, and to receive it in a portable form. To exercise any of these, contact us using the details below.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113.

Security

Data is transmitted over encrypted connections (HTTPS) and passwords are stored only as one-way hashes. Access to customer data by our staff is limited to those who need it to do their job, and administrative actions are logged.

Children

Our service is for trade customers and is not intended for anyone under 18. We do not knowingly collect data about children.

Changes to this policy

If we change this policy we will update the date at the top of this page. Where a change materially affects how we use your data, we will tell you in the app or by email.
